Purpose

The purpose of this page is to outline the Club's internal and external communications strategies and platforms.

Public Relations

Accounts

Login credentials for all accounts are maintained by the Public Relations Chair and the President, to be provided to designated volunteers on an as-needed basis. Credentials should always be stored in a password manager. If they need to be shared, use One Time Secret to send credentials through an encrypted link.

The Public Relations Chair is principally responsible for posting public updates about the Club to the community through the most appropriate channels, which will be dependent on the content and audience. The PR Chair and Recruitment Chair should work together at the start of each season to ensure all outlets reflect up-to-date information about practices and joining the team, and respond to inquiries throughout the season. All posts should be free of spelling and grammatical errors and relatively PG-13

Eno River Women’s Rugby Football Club

No login details; admins must be logged in to their personal account to make changes or post. The President is responsible for updating the list of admins so that the appropriate designated volunteers have posting permissions. Generally this will be the President, PR Chair, Social Chair, and Recruitment Chair.

Private "Eno Women's Rugby- Player's Only" group has been deprecated for official communications, but exists so that users (players) can still search for past content or post here if desired.

Diggin’ Durham

Durham-based outlet for what's going on around town. Message them on Instagram or Facebook to have them post about events/matches.

Merchandise

The Public Relations Chair is principally responsible for the creation and sale of team merchandise. The Fundraising Chair will also collaborate in these activities significantly. The PR Chair will manage the merchandise bin and will update the Equipment Inventory spreadsheet as needed if this item changes hands. The Treasurer is responsible for the cash box, and will likely designate its management to the Fundraising Chair or designated trusted volunteer during fundraising events.

In prior years, Eno created a "sponsorship tees" on a yearly basis which included a new design on the front and an updated display of sponsors' logos on the back each year. This proved to be a time-intensive endeavor and with several new outlets for players and supporters to purchase the merch they want, this process was terminated.

Advertising

The Public Relations Chair and Recruitment Chair are responsible for working together on advertising. The Recruitment Chair may wish to include advertising costs in their proposed yearly budget submission to the Treasurer. The Fundraising Chair may also have advertising costs to include for events and promotions.

Typically ordered from VistaPrint (Smurf's account). Last ordered 6/11/21.

PosterGuys

Have used this service in the past to spread flyers pre-season. Previously offered a nonprofit discount but may not always be available.

Facebook Boost

Specific posts can be boosted strategically to expand the audience, typically at a fairly low cost (has been around $5 in the past).

Internal Communications

Slack

Eno uses Slack for all official communications. Eno uses the Standard Plan which is available for free due to our nonprofit status. The Slack app can be downloaded for Windows, Mac, Android, or iPhone here.

New players can be given this link to enroll in the workspace. Anyone can be a member of the Slack workspace (it is not limited to players or members only), and people can join or be added to specific channels depending on their needs.

Members of the leadership team will be given permission to post in the #announcements channel upon assuming their position. This is the only purpose for this channel; please do not engage in general conversation there, as most people in the workspace are unable to post in this channel. All official communications should be posted there, and can also be cross-posted to relevant channels such as #social, #recruitment, #fundraising, etc.

The Team Gmail account is the owner, and the President is the administrator for the Slack workspace. Reach out to Smurf for help, or to explore integrations between Slack and other apps/services that may be useful for your position. For example:

  • when the Social Chair posts a new event to the Team Gmail calendar, a post is created in the #calendar channel

  • when someone posts to the Eno Players Only Facebook page, a post is created in the #fb-players-only channel
