Club Membership

Purpose

The purpose of this section is to outline the Club's membership types and board officers' responsibilities relating to administration of Club membership.

Membership Types

Active Player Member

(Copied from Bylaws): A Player Member shall be defined as a dues-paying active player, who is CIPP (Club and Individual Participation Program) registered with USA Rugby. Such Member must be a female over the age of 18 years, as defined by USA Rugby membership laws for senior women’s rugby (approval from USA Rugby is required for players under the age of 18).

Social Member

(Copied from Bylaws): A Social Member shall be defined as any dues-paying person who wishes to support the club and join in club activities. Payment of Social Membership dues entitles the Member to benefits that may include merchandise and participation at social events. Specific details of the Social Membership program will be maintained and administered by the Social Chair in conjunction with the Recruitment Chair.

Alumni

This is not an official membership type noted in the Bylways, but an important distinction. Alumni are people who have previously held Active Player status but are no longer playing rugby with Eno. An alumna may also be a Social Member, and may rejoin as an Active Player at any time.

Recruitment

The Recruitment Chair is principally responsible for coordinating all aspects of the Club's recruitment strategy and process. This includes:

  • Posting of advertisements in conjunction with the PR Chair

  • Facilitation of new member outreach involvement in activities

  • Serving as point of contact (email, phone, social media) for new recruits

  • Coordinating volunteers to aid in these activities

Onboarding

The Recruitment Chair is principally responsible for carrying out the new player onboarding checklist:

  • Provide Eno Player's Handbook and direct to completion of new member/annual tasks

    • Dues payment

    • Membership Enrollment Form

    • CIPP Registration

    • Player Health and Safety Form

    • Match Availability Spreadsheet

  • Invite to Slack Workspace

  • Introduce to Member at Large and their assigned Buddy

  • Provide a team t-shirt once dues are paid

Engagement

The Member at Large works with Recruitment Chair to develop strategies to engage and support players throughout their time on Eno, from rookie to veteran to alumni. The Member at Large will administer the Buddy Program, including:

  • linking each new player to a veteran player who will serve as their Buddy

  • providing guidelines to Buddies about expectations of the program and how to engage new players

The Social Chair is principally responsible for administering the Social Membership Program, with assistance and collaboration from the Recruitment Chair and Member at Large. This includes:

  • soliciting new members

  • providing incentives for membership (e.g. membership card, merchandise discounts, invitations to socials/events, food/drink at socials)

  • facilitating social member involvement in activities

The President is principally responsible for communication between the Executive Board and the membership body, however, each board member takes ownership of information relevant to the duties of their position. Per the communications plan, the official information channel for team business is Slack; only Club leadership are able to post in the #announcements channel to ensure this remains an uncluttered space for accessible review of official communications. Board members may wish to cross-post their announcement at their discretion into other relevant channels within Slack, or to the "unofficial" Players-Only Facebook Group, to increase engagement.

The President will administer the open suggestion box, route feedback to the appropriate board member, and address issues and conflicts within the Club on an ongoing basis. Other leaders such as Officers, Coaches and Captains will also address issues as they are made aware of them, involving the President if necessary.

Records

The President is principally responsible for maintaining an updated database of members, including active players, social members and alumni. The President will work with all board members to ensure that the Membership Form is collecting the necessary data for each officer to carry out their duties (and no extraneous information) before sending this to the Club for completion on an annual basis. The President will work with the Coaches to collect player health and safety information, updated on at least an annual basis, and maintain this data confidentially.

The Treasurer is responsible for maintaining a record of dues payments for Active Player and Social Members, which the President will use to update the membership database.

The Member at Large is responsible for reaching out to alumni periodically to ensure an updated contact list, which the President will use to update the membership database.
